Step-by-step documentation for student and alumni portal features

1. Login Assistance & Account Recovery

To access your records, sign in using your registered institutional email address or student number along with your password.

  • Forgot Password: Click the "Forgot password?" link on the login screen. Enter your registered email address to receive a secure time-sensitive reset link. Check your spam/junk folder if the reset email does not arrive within two minutes.
  • Email Verification: Newly registered accounts must be activated by clicking the verification link sent upon sign-up. If unverified, you will be redirected to the verification status checkpoint.
  • Session Security: Inactive sessions will automatically disconnect after an idle window to safeguard sensitive academic credentials.

2. Submitting a Document Request

Requesting official documents is simple and paperless through the portal dashboard:

  1. Navigate to Request Document from your portal sidebar or dashboard action card.
  2. Choose the required document type (e.g., Transcript of Records, Certificate of Grades, Good Moral Certificate, Diploma duplicate).
  3. Select the purpose of your request and specify whether it is your first copy or a subsequent copy.
  4. Upload required clearance or prerequisite documents either by browsing your local device or attaching directly via the integrated Google Drive picker.
  5. Review the summary and submit your request for registrar processing.

3. Tracking Request Status

Every submitted request is assigned a unique tracking identifier. You can review real-time status updates under My Requests:

  • Pending: Your application has been logged and is awaiting registrar assignment and initial evaluation.
  • On Hold: Additional documents, clearance confirmation, or payment receipts are required. Check the request details and submit the requested requirements.
  • Processing: Documents are being drafted, verified, and signed by authorized personnel.
  • Ready for Pickup / Released: Your documents are prepared for release at your campus registrar counter.

4. Using the Support Ticket System

If you have questions regarding requirements, delays, or corrections on a request:

  • Open the specific request details page and click Contact Registrar / Inquire to open a direct ticket thread.
  • Messages are routed directly to the staff assigned to your campus and document type.
  • You will receive real-time notifications in your topbar indicator and an email reminder when staff post a response.
