Data Privacy Policy

University of Caloocan City • Centralized Records Management System (CDRS)

Commitment to Data Privacy The University of Caloocan City is committed to safeguarding the privacy and security of student, alumni, and personnel data in compliance with Republic Act No. 10173 (Data Privacy Act of 2012) and institutional academic standards.

Information Collection

UCC CDRS collects standard institutional user data—including full legal names, student/employee identification numbers, institutional and personal email addresses, campus assignments, contact information, and academic histories. This data is collected strictly to facilitate University of Caloocan City registrar operations, credential issuance, and secure student record management.

Google Workspace Data Usage

Our system utilizes the Google Drive API (https://www.googleapis.com/auth/drive.file) exclusively to allow authorized university personnel to attach, view, and organize academic documents within the platform.

The application strictly accesses only files specifically chosen or created by the personnel through the Google Picker interface for student records. The application does not read, modify, or delete any unrelated personal files residing in the user's Google Drive. Tokens are maintained solely within authorized user sessions and are never harvested for unauthorized purposes.

Data Security & Sharing

All data processed by CDRS is encrypted in transit and stored securely on managed institutional servers. System access is strictly restricted to authorized registrar personnel and system administrators using role-based access control (RBAC).

We do not share, sell, lease, or distribute user data or Google Workspace information to third parties, commercial advertisers, or unauthorized external entities under any circumstances.

Data Retention & Disposal

Records are retained in strict accordance with the university's academic data policies, Commission on Higher Education (CHED) guidelines, and national statutory retention mandates. Upon graduation, formal separation, or verified institutional request, records are securely archived or expunged through certified administrative processes.

Contact & Data Inquiries
